Purpose: The Proposal Manager develops top quality business proposals in response to Requests for Proposals (RFPs) and other business opportunities. This position is responsible for coordinating, producing, and facilitating proposal strategies with key business and creative stakeholders.


Essential Functions:

  • Leads the proposal development process, ensuring all components are delivered on time; develops project timelines, assigns responsibilities, and manages review schedules
  • Facilitates strategy meetings with stakeholders to define win themes and key messaging
  • Ensures all proposal components align with business objectives and competitive positioning; collaborates with subject matter experts (SMEs) to gather and refine proposal content
  • Reviews and edits content for clarity, consistency, compliant with requirements, and written in a consistent tone that incorporates win themes
  • Structures responses in a compelling, well-organized format aligned with company branding
  • Coordinates with Concepts, Marketing, Operations, Strategic Alliances, Legal, Design & Construction, and other leadership teams such as development to gather necessary input
  • Manages external vendors for writing, graphic design, and printing support as needed
  • Works with project leader to secure approvals and ensure proposals reflect company strategy and win themes and determine how those themes will be integrated throughout the proposal or other deliverable (oral presentation, collateral, etc.)
  • Oversees all aspects of the RFP and document formatting and layout in collaboration with designers; develops PowerPoint/Keynote presentations for business pitches and proposal submissions
  • Continuously improves proposal workflows for efficiency and effectiveness; tracks proposal outcomes to refine future strategies
  • Maintains a library of past proposals, templates, and best practices.
  • Reporting Relationship: The Proposal Manager reports to the Director of Proposal Development


Minimum Qualifications, Knowledge, Skills, and Work Environment:

· Education and Experience: The combination of education and professional experience must exceed 5 years:

  • In a technical role: Requires 5 years of experience engaged in project management, content development, marketing, or business operations
  • A bachelor’s degree in a program related to the functional area can count for 3 of the 5-year requirement
  •  In the industry: 3-5 years of Hospitality, F&B and/or Retail experience

· Specialized Skillset/Competencies/Traits

  • Strong project coordination skills; has the ability to consistently meet deadlines
  • Demonstrated experience with writing, editing, and content development; technical writing experience preferred
  • Proficiency in Microsoft Office Suite; working knowledge of Adobe Creative Suite (Photoshop and InDesign) is a plus
  • Has the ability to manage multiple projects simultaneously and work in a challenging, fast-paced, and deadline-driven environment
  • Business acumen and also has the mindset required to understand the long-term implications of business proposal management and to advance the organization’s goals
  • Demonstrated history of understanding the needs of the business, stakeholders, the employee population and individual circumstances
  • Demonstrated history of creating and maintaining positive work environments

 

· Location/Travel:

  • This position is located at the North America Support Center in Bethesda, MD
  • This position may require up to 20% travel to airport locations
