Purpose: The Shipping Coordinator coordinates inbound and outbound shipments within the Distribution and Import Center, ensuring products are processed, documented, and delivered accurately, efficiently, and on schedule. This role supports shipping operations through transportation planning, shipment tracking, carrier coordination, and documentation management while working closely with warehouse, distribution, and logistics teams to maintain the consistent flow of inventory and meet operational requirements.
Essential Functions:
- Coordinates daily inbound and outbound shipments to support distribution center operations and customer delivery requirements
- Schedules carrier pickups and deliveries and manages shipment bookings utilizing Transportation Management Systems (TMS) and other operational systems
- Tracks shipments and proactively communicates delivery status, delays, and exceptions to appropriate stakeholders
- Reviews and verifies shipping documentation, including bills of lading, commercial invoices, customs documentation, and carrier records to ensure accuracy and compliance
- Coordinates with warehouse and distribution teams to ensure products are prepared, loaded, and shipped according to established schedules
- Maintains accurate shipment records and tracking information within transportation and warehouse management systems
- Supports domestic and international shipping activities, ensuring compliance with company policies and applicable transportation and customs requirements
- Coordinates with freight carriers, freight forwarders, customs brokers, and logistics providers to resolve shipment issues and support timely delivery
- Monitors shipping and transportation expenses and identifies opportunities to improve efficiency and service levels
- Participates in inventory reconciliation, cycle counts, and shipment audits as required
- Provides administrative and operational support to Distribution and Logistics teams to maintain effective daily operations
Reporting Relationship: The Shipping Coordinator reports to the Distribution Center Director or designated Distribution Operations leader
Minimum Qualifications, Knowledge, Skills, and Work Environment:
- The combination of education and experience must exceed 3 years:
- Requires at least one year of experience supporting shipping, distribution, logistics, transportation coordination, warehouse operations, or inventory management programs
- In the industry: At least one year of Hospitality, Food & Beverage, Retail, Supply Chain, Logistics, or Distribution experience
- Specialized Skillset/Competencies/Traits:
- Working knowledge of shipping, distribution, inventory management, and transportation operations
- Familiarity with Transportation Management Systems (TMS), Warehouse Management Systems (WMS), and shipment tracking software preferred; demonstrated ability to quickly learn and adopt new systems and technology through training
- Strong attention to detail and sound judgment in identifying and escalating shipment discrepancies, delivery exceptions, and documentation issues; has the ability to maintain transparency and consistent communication
- Strong organizational skills with the ability to coordinate multiple priorities and support timely shipment execution in a fast-paced distribution environment
- Demonstrated history of maintaining positive work environments and collaborative relationships with internal and external business partners
- Location/Travel:
- This position may be based at one of our large Distribution Centers in the US; specific airport locations include ORD (Chicago), JFK (New York), HOU (Houston), or LAX (Los Angeles)
- May require up to 10% travel
