Purpose: The Vendor Master Specialist is responsible for the accurate creation, maintenance, and governance of vendor master data within the enterprise ERP system. This role ensures vendor records are complete, compliant, and aligned with internal controls and regulatory requirements.
Essential Functions:
- Create, maintain, and update vendor master records in SAP, ensuring data accuracy, completeness, and compliance with established policies and procedures
- Process vendor set up and change requests, including validation of required documentation such as tax forms, banking details, and other required information.
- Verify banking information through manual and/or automated options
- Ensure vendor master data adheres to internal controls, segregation of duties, and audit requirements
- Perform duplicate vendor reviews and data quality checks to maintain integrity of vendor master data, resolving discrepancies
- Collaborate with Internal and External Partners
- Respond to internal and external inquiries related to vendor setup, maintenance, and status update within SLA guidelines
- Support audits by providing documentation, reports, and explanations related to vendor master data activities
- Meet established service level agreements (SLAs) and ensure timely processing of vendor requests
- Perform special tasks and additional responsibilities as assigned
Reporting Relationship: The position reports to the Assistant Manager, Master Data
Minimum Qualifications, Knowledge, Skills, and Work Environment:
- Education and Experience: The combination of education and professional experience must exceed 1 year:
- In a technical role: Requires 1 year of experience related to master data management.
- A bachelor’s degree or a program related to the functional area can count for this requirement.
- In the industry: 1-3 years of Hospitality, F&B and/or Retail experience
- In a technical role: Requires 1 year of experience related to master data management.
- Specialized Training:
- Proficiency with SAP; Specifically, Vendor Master Data governance and processes
- Specialized Skillset/Competencies/Traits
- Demonstrated ability to:
- Maintain a high level of accuracy and attention to detail
- Communicate clearly with internal and external stakeholders
- Collaborate effectively within diverse teams
- Maintain confidentiality and accuracy of sensitive information
- Produce quality materials within tight timeframes and simultaneously manage several different activities
- Prioritize assignments, deal with interruptions, and meet deadlines in a fast paced and growth-oriented environment
- Adapt communication style to different situations and people as well as to a complex business structure
